This policy explains what Ashland Town FC (Ashland Ventures, LLC) does with personal information. Our postal address is 201 Duncan Street, Ashland, VA 23005 and you can reach us at info@ashlandtown.com.

What we collect

• Information you give us. Names, contact details, player date of birth, emergency contacts, medical notes you choose to share, and anything you write in a form or email.
• Payment information. Membership payments are handled by third-party payment processors. We do not store card numbers on our servers.
• Website usage. If you accept the cookie bar, Google Analytics records pages viewed, approximate region and device type. If you decline, no analytics cookie is set.
• Server logs. Our host records IP addresses and requested pages as a normal part of running a website.

Why we use it

• To register players, form teams, run sessions and communicate about the season
• To take payment and keep club financial records
• To respond to enquiries about programs, tryouts and sponsorship
• To send club news and program announcements, where you have opted in
• To understand which pages of this website are useful, where you have accepted analytics
• To promote our own soccer programs and services, including through advertising audiences we build from our own contact lists

Advertising

We may use contact information you have given us to show you advertisements for our own programs and services on third-party platforms. That advertising is free to you and promotes nothing but Ashland Town FC activities.

We do not sell personal information. We do not share it with data brokers. We do not use information relating to a player under the age of 13 for advertising audiences of any kind.

You can opt out at any time by using the "Do not sell or share my info" link in the footer of this site, by unsubscribing from any club email, or by writing to info@ashlandtown.com.

Children

Our programs serve children, and much of what we hold relates to players under 18. Registration information about a child must be submitted by a parent or legal guardian. We collect only what we need to run the program safely.

A parent or guardian may ask to review the information we hold about their child, ask us to correct it, or ask us to delete it. Write to info@ashlandtown.com and we will respond within 30 days. We will not condition a child's participation in a program on providing more information than is reasonably necessary.

Who we share information with

We share information only where it is needed to run the club: leagues and governing bodies for player registration, our payment processor, our email service, and coaching staff for their own teams. Each is bound to use the information only for that purpose. We will also disclose information where the law requires it.

How long we keep it

• Player registration records: for the duration of membership and up to seven years afterwards, as league and insurance rules require
• Financial records: seven years
• Enquiries that do not lead to registration: two years
• Mailing list entries: until you unsubscribe
• Analytics data: 14 months
• Server logs: as retained by our hosting provider, typically a few weeks

Security

This site is served over HTTPS. Administrative access is password-protected and limited to club staff who need it. Payment card details are never held by us. No system is perfect, and we do not claim otherwise — but we do not collect more than we need, which is the most effective protection available.

Your choices

You may ask us what we hold about you, ask for a correction, ask for deletion, or opt out of marketing. Virginia residents have these rights under the Virginia Consumer Data Protection Act, and residents of other states have similar rights under their own laws.
